Vietnam travel information

Everything your team needs before selling a Vietnam programme: how bookings are confirmed, when money is due, what happens on cancellation, and the ground rules your clients should know before they travel.

Visas and entry

Entry rules for Vietnam change regularly and differ by nationality, so we do not publish a fixed visa fee. Send us the passport nationality of your group and we will confirm the current requirement, the documents needed and the lead time before you quote.

As a rule, ask clients to travel on a passport valid for at least six months beyond the return date, with two blank pages, and to carry confirmed onward tickets and hotel vouchers.

Visa fees, insurance and international air tickets are not included in our package rates unless the itinerary states otherwise.

Payment terms

  • After a package request is confirmed, 50% of the tour cost is payable immediately so that hotels, transport and activities can be blocked.
  • The balance is due 7 days before arrival.
  • All payments must be advised by email with the transaction details attached.
  • Payment terms can change at the time of booking depending on hotel policy and high-season conditions.

Cancellation policy

  • Cancellations are accepted by email only.
  • 45 days or more before arrival — no charge.
  • 45 to 30 days before arrival — 25% of the tour cost.
  • 30 to 15 days before arrival — 50% of the tour cost.
  • 15 to 10 days before arrival — 75% of the tour cost.
  • Less than 10 days before arrival — 100% of the tour cost.
  • Hotel policy and high-season blackout dates can override this scale; the exact terms are confirmed with each quotation.

What your clients should know

A short briefing before departure prevents most of the awkward moments our guides deal with on the ground.

  • Dress modestly at pagodas, mausoleums and the Imperial City — shoulders and knees covered.
  • Remove your shoes when entering a home, a temple hall or many small shops.
  • Pass and receive things with both hands when dealing with older people; it reads as respect.
  • Photography is restricted at Ho Chi Minh's Mausoleum and at some military sites — follow the guide's instruction.
  • Bargaining is normal in markets but not in shops with marked prices or in restaurants.

Operational notes

  • Domestic flights between Hanoi, Da Nang, Nha Trang, Phu Quoc and Ho Chi Minh City are usually cheaper booked early; we quote them separately unless stated.
  • Indian vegetarian and Jain meals are arranged in all major cities with notice.

Frequently asked questions

When do you need final rooming lists?
Seven days before arrival, together with the balance payment. Earlier is better in high season, when hotels release blocked rooms quickly.
Are your rates net or commissionable?
We quote net B2B rates to agents. You set your own selling price and keep the margin.
Can you handle special meal requirements?
Yes. Indian vegetarian, Jain and halal meals are arranged in all our destinations with advance notice; tell us at the time of booking rather than on arrival.
What happens if a domestic flight is cancelled?
Our local office reworks the ground services around the new schedule and tells you immediately. Airline charges are passed on at cost; we do not add a handling fee.
Do you provide 24-hour support during the tour?
Yes. Every file is handed over with an on-ground contact who is reachable throughout the trip.
